When is the best time to start HubSpot onboarding?

When you are busy with your day-to-day job, a new project may feel tricky to prioritise. Here's what we recommend!

There are lots of things to consider when choosing the right time to implement HubSpot at your organisation, you need to make sure you and your team have the time to dedicate to onboarding - for learning a new system and also to focus on building new and better processes.

Unfortunately, we often hear things like "we are too busy to implement this right now" and "our team has so many manual tasks to keep on top of that we don't have the bandwidth for new ways of working".  This is always a tricky one... we find many teams are so busy running on the hamster wheel of day-to-day tasks that they don't feel able to slow down and look at better ways to work that would remove the hamster wheel entirely.

Remember that one of the main reasons you are likely to be considering HubSpot, is to streamline processes, embrace automation tools and save yourself time. 

The first thing to mention is that we do genuinely understand, all of our consultants have worked in similar environments and we know how stressful it can be. It's actually the reason our CEO founded HubGem to help education and non-profit sectors, but that's a story for another day!

So, when is the best time to start onboarding?

We recommend implementing when you have 2-3 months ahead where your team can spare at least 3 hours per week to focus on HubSpot. For education teams, we find that January, May and September tend to be popular times. 

The onboarding schedule can be flexible so if, for example, you are going to have a busy few weeks in admissions, we can focus those weeks on marketing instead. The first 4 weeks of HubSpot onboarding in schools do need an admissions focus as we map out properties (fields) for your data - so please be mindful of this. 

We have a new website imminent, when should we implement HubSpot?

This is something we often come across, and the good news is that a new website should not delay your onboarding. If you are working on a new website then we recommend getting HubSpot set up before launching the site. That way, you can use HubSpot forms for lead capture and send your prospects on delightful journeys from the beginning. We are happy to work with your developers if needed. Lead capture should never be an after-thought, if a contact is filling a form in on your new website, make sure you have HubSpot live in the background to send them instant personalised follow up emails, and more.
