Who should attend our onboarding sessions?

It is important that the right people are involved in your HubSpot onboarding, we can help you identify who those team members are.

When you are planning your HubSpot onboarding, you will need to make sure all of the key stakeholders are involved in the sessions to ensure that the project runs smoothly and does not get delayed. 

You will need to identify a Project Champion - this is the person at your organisation who is responsible for the overall success of the project. Where possible, the champion should attend all sessions and they should have a good relationship with all of your internal teams and stakeholders. This person will be our main point of contact and should be in a senior position in your organisation. 

The requirements for your other attendees, very much depends on the desired outcomes and priorities for your onboarding project. 

Typically we would recommend that you invite your Director of Marketing (or equivalent) to join the regular sessions, if you intend to use HubSpot for Admissions or Sales then your Director of Admissions or Sales (or equivalent) should be involved in the sessions too. We usually expect members of your marketing or communications team will be involved throughout and sometimes the wider sales or admissions team. 

It may not be appropriate or possible for all of the above teams to join in the onboarding calls - particularly in larger organisations. We recommend inviting additional team members along to specific sessions as appropriate - for example your IT Manager or Data Specialist may need to be involved when we cover data import or integrations, your web developer may need to support with updating your domain records/DNS, and you may want to invite your Finance Manager to the sessions on forecasting and revenue. 

We find that the best approach involves a group of around 4-5 members of your team attending all/most calls. This should include your Project Champion. Then we will work with you to identify who needs to be involved in the more specific sessions.

Enterprise or Advanced implementations

For Enterprise-level or advanced implementations, we may need to work separately across Marketing, Sales, Service and other departments for the majority of your onboarding calls, and bring the teams together at carefully defined points to ensure alignment. Your Project Champion should attend all sessions.
